Series Part 1 of 2:

This is Part 1 of our 2-part series on e-Invoicing for Malaysian SMEs. In this article, we cover the essential regulatory requirements.

In Part 2, Choosing an e-Invoice Solution: SME e-Invoice Guide, we discuss how to choose the right software to automate these rules.

As the Inland Revenue Board of Malaysia (LHDN) transitions the nation toward a mandatory e-Invoicing framework, SMEs are facing a significant shift in how they document sales and acquisitions. Compliance is no longer just about issuing a PDF; it is about real-time data validation and digital transparency.

The Baseline Compliance Checklist

Before you can successfully integrate with the MyInvois portal, your business data must be “clean” and formatted according to LHDN standards. Here is what is required:

  • Accurate Tax Identification (TIN): You must collect and verify the TIN and Business Registration Numbers for all B2B customers.
  • MSIC Code Alignment: Every invoice must include the correct 5-digit Malaysia Standard Industrial Classification (MSIC) code and description that matches your business activity.
  • The 72-Hour Rule: Understand that once an invoice is validated by LHDN, you only have a 72-hour window to cancel it. After that, a Credit Note or Debit Note is required. (See Why LHDN’s 72-Hour Invoice Rule Matters for Your Financial Year-End).
  • Self-Billed e-Invoices: You are responsible for issuing e-Invoices for specific scenarios where the supplier does not issue one, such as payments to individuals, foreign suppliers, or certain agents/distributors. (See What Is a Self‑Billed e‑Invoice?).
  • Data Archiving: Legally, all validated e-Invoices must be stored and accessible for a minimum of seven years.

The Challenge: Manually managing these requirements on the government portal is time-consuming and error-prone. To stay efficient, SMEs need a system that handles these rules automatically.
